<p><strong>Beginners/start group &#8211;</strong> Below Discover standard. Coaches can award the Start award when people have achieved it.</p>
<p><strong>Juniors &#8211;</strong> For children up to approximately 14 years old<br />

<h3><b>Minutes &amp; Matters Arising</b></h3>
<p>Minutes need to be circulated as a soon as possible after the meeting to allow people to complete actions.<span class="Apple-converted-space">  </span><strong><span style="color: #ff0000;">Action:</span> KS to try &amp; circulate actions or minutes within one week.</strong></p>
<p>The November meeting notes were approved for publication.</p>
<h3><b>Club Admin<span class="Apple-converted-space"> </span></b></h3>
<p>The<b> </b>British Canoeing affiliation will be done this week.<span class="Apple-converted-space">  </span>KS asked for some information to enable completion of the affiliation form.</p>
<p>AGM</p>
<p>The nomination form will need updating for the AGM.<span class="Apple-converted-space">  </span><span style="color: #ff0000;"><strong>Actions:</strong></span></p>
<p><strong>HC to send a copy of the form to KS</strong></p>
<p><strong>KS to update the form and include the AGM date then send to RN</strong></p>
<p><strong>RN to email the club membership and to send reminders in Jan and Feb.</strong></p>
<p>KS advised any procedure updates will need to be sent to British Canoeing, HC advised that all that has changed is the addition of the social media policy.<span class="Apple-converted-space"> </span> <span style="color: #ff0000;"><strong>Action</strong></span> KS to check &amp; action</p>
<p>KS advised she would be happy to step down if someone else wanted to take on the Secretary role.<span class="Apple-converted-space">  </span>NA, PR &amp; HC advised they will be stepping down from the Committee so the following roles will be vacant Chair, Membership Secretary, Paddlesport Development Officer but HC will support whoever takes it over.</p>
<p><strong><span style="color: #ff0000;">Action:</span> PR to put something out about advertising the Committee jobs</strong></p>
<p><strong><span style="color: #ff0000;">Action:<span class="Apple-converted-space"> </span></span> KS to ensure notice to say all Committee posts are up for nomination.</strong></p>
<h3><b>Finance</b></h3>
<p>November bank balance was £8155.34</p>
<p>Current bank balance is £7890.90</p>
<p>BC Affiliation payment to come out £422.20</p>
<p>Lake fees will be going up by 3.4% and will be due 31<sup>st</sup> Jan.<span class="Apple-converted-space">  </span>The 2019 fee will be £2,148.80</p>
<p>There is £300 to bank for the sale of the polo boats.</p>
<h3><b>Equipment</b></h3>
<p>A working party was at the lake in November.</p>
<p>A new lock box was put on the end container.</p>
<p>The buoyancy blocks &amp; painters from the canoes were removed.</p>
<p>SUPs let down slightly.</p>
<p>The polo boats have been sold.</p>
<p>The playboats had gone up for sale but as yet there had been no interest.<span class="Apple-converted-space">  </span>It was agreed to leave till after Christmas then if there is still no interest the price will be reduced.</p>
<p>PR &amp; HC met with Mick &amp; Helen and as a result of the development discussions have requested a plan / sketch detailing the proposed changes to the bank steps and decking. <span class="Apple-converted-space"> </span></p>
<p>This should also show the proposed club house position &amp; size.</p>
<p>Feedback from Mick &amp; Helen were that they appeared to be quite open to the suggestion of a club house but were concerned that we may not hire the existing facilities.<span class="Apple-converted-space">  </span>It was explained that the size would limit this use so would still need occasional hire of Stanton facilities.<span class="Apple-converted-space">  </span>Their main concern was that they would like the club house to be clearly seen as a temporary building that could be easily moved.<span class="Apple-converted-space">  </span>As part of Mick &amp; Helens long term plans there may be a possibility of having access to electricity.</p>
<h3><b>Events</b></h3>
<p>KS read out DC’s message as he was unable to attend the meeting:</p>
<p>Grade 2/3 trip 15 Dec</p>
<p>Touring trip 23 Dec</p>
<p>CIWW trip 6<sup>th</sup> Jan</p>
<p>Weekend away May Bank Holiday (End of May)</p>
<p>DC also advised in his message about signing off Leaders</p>
<p>He agrees “more flexibility is required but is wary of the Club’s responsibility.<span class="Apple-converted-space">  </span>He thinks Phil’s idea could work but that it may not be as simple as it appears particularly if the group were in disagreement.<span class="Apple-converted-space">  </span>He personally feels the ratios should change and have the option to allow people to go outside ratios with Committee approval”.</p>
<p>PR thought the best people to review a proposed trip were the current Leaders and<span class="Apple-converted-space"> </span></p>
<p>Coaches as a group.<span class="Apple-converted-space">  </span>They should be empowered to say what people can do.</p>
<p>Planning should be agreed / approved with the other coaches and leaders then information passed to the Programme Coordinator to be included in the event list.</p>
<p>What happens on the trip is the remit of the trip Leader (s) on the day.</p>
<p>It was suggested that if the group were unable to agree on something the Committee Programme Coordinator would have the final say.</p>
<p>The Coaches &amp; Leaders group could also ask for feedback from trip attendees.</p>
<p>The leader forum would have a role of progressing Leaders and those who wish to assist.</p>
<p>The Committee felt and suggested the minimum criteria of working towards Leading or Assisting should have FSRT &amp; First Aid.</p>
<p>KS personally felt that any policy should reference the BC environmental definitions and deployment guidance for instructors, Coaches and Leaders.<span class="Apple-converted-space">  </span>If the Club were to abandon these guidelines then we would need alternative documentation, procedures and written records that would legally satisfy that we have maintained our Duty of Care to club members.</p>
<p>FW advised that he felt the club did not encourage or give people the opportunity to Lead or Assist.<span class="Apple-converted-space">  </span>He also felt the BC guidelines did not work for the club due to the lack of qualified Leaders / Coaches as you would not be able to attempt some features on some of the trips or have trips on higher grade waters, he also thought people were actually put off from having a go.<span class="Apple-converted-space">  </span>He feels that for people to develop they need to be able to do features that would be outside the Leader’s remit and that due to the shortage of Leaders and higher qualified Leaders that if we stuck to the BC guidelines people will never be able to progress.</p>
<p>There was still much discussion about the existing list &amp; also the difference from what a Trip Leader does or can do on a Trip and a Coach.<span class="Apple-converted-space">  </span>KS asked if the existing list should be scrapped and a new one created from scratch.<span class="Apple-converted-space">  </span>FW did advise that he was happy to stay within any specified guideline but felt that if a new list were created then the rules should be applied across the board.<span class="Apple-converted-space">  </span>The main issue appears to be around how many people a Leader can take and without having an assistant especially if they are not a qualified Leader.</p>
<p>PR thought there were two separate issues</p>
<ul>
<li>Encouraging people to have a go at leading and assist leading and their development.</li>
<li>Then how to deal with trip planning and leading trips.</li>
</ul>
<p><span style="color: #ff0000;"><strong>Actions:</strong></span></p>
<p><strong>PR to write up the proposal for Committee to review then it should be shared with the Coaches &amp; Leaders group for their input.</strong></p>
<p><strong>DC to draw up a new Leaders list</strong></p>
<p>KS asked if Phil Burgess had been sent a response.<span class="Apple-converted-space">  </span>PR advised he had spoken to him</p>
<h3><b>Club Development</b></h3>
<p>HC, PM, NS &amp; KS attended the BC roadshow regarding the new award system.<span class="Apple-converted-space">  </span>HC was re doing the club programme to suit the new system and will go through it at the Coaches meeting in Jan.</p>
<h3><b>Membership</b></h3>
<p>Membership stands at a total of 139 consisting of</p>
<p>101 Adults</p>
<p>38 Juniors</p>
<p>Of the above 38 are BC members.</p>
<h3><b>Club Communications</b></h3>
<p>PM advised the phone number does not work. Nikki advised the battery is constantly flat.<span class="Apple-converted-space">  </span>It was agreed to not use the club phone anymore and to remove the number from the website.</p>
<p>The contact us link did not work but this has now been recently fixed.</p>
<p>Website says you can upload your own trip reports but this is not possible so needs amending.</p>
<p>There is still some reference to the Polo which needs removing.</p>
<p><strong><span style="color: #ff0000;">Action</span>: RN to update.<span class="Apple-converted-space">  </span>KS will find polo references and advise location to RN</strong></p>
<p>Some profiles out of date.</p>
<p><strong><span style="color: #ff0000;">Action</span>: KS offered to go through all the profiles discuss with people concerned and update.</strong></p>
<p><strong>Post Mtg Note:<span class="Apple-converted-space">  </span></strong>RN reported that the annual web site hosting fee had been renewed this was £104.89</p>
<h3><b>AOB</b></h3>
<ul>
<li>Christmas meal was cancelled due to only having 5 booked onto it.</li>
<li>PM asked if there were any spare lake days? HC advised 2 lake days were available before the end of the year.<span class="Apple-converted-space">  </span>Paul would like a training day in the Canoe <strong><span style="color: #ff0000;">Action</span>:</strong><span class="Apple-converted-space">  </span>PM to organise.</li>
<li>PM suggested that social media was not an appropriate forum for the Committee to engage / debate with Members about Club issues (i.e. Facebook &amp; Messenger).<span class="Apple-converted-space">  </span>It should not be used for trying to solve Club problems.<span class="Apple-converted-space">  </span><strong><span style="color: #ff0000;">Action</span>:<span class="Apple-converted-space">  </span>It should be clear that the process is to encourage members to talk and or email direct to a Committee Member or even better to attend the next available Committee Meeting. <span class="Apple-converted-space"> </span></strong></li>
<li>DC asked of NA that Martin Aldridge was really missed from the Club whether there is anyway back and if anything could be done to encourage her not to leave.<span class="Apple-converted-space">  </span>NA said no</li>
<li>Sea Cadets – Mick &amp; Helen feel the same as the Committee about the Sea Cadets and if we want to do something then they are fine about it but if not, they are ok with this too.<span class="Apple-converted-space">  </span><strong><span style="color: #ff0000;">Action</span>:<span class="Apple-converted-space">  </span>HC is going to contact them to see if they want to do anything.</strong>If they do contact us then we will have a meeting to discuss.</li>

<p>2019 season was discussed – Both HCC &amp; Stanton are happy with how<br />
the 2018 season went, same rules will apply for the 2019 season<br />
regarding parking etc.</p>
<p>Fee for the 2019 season is £2000 + inflation rate which is in line with our<br />
three year agreement (£2148.80). This to be paid to Stanton at the end<br />

<p>Lake sessions dates for 2019 – 11th April until 12th September<br />
AGM booked for the 8th March, 7.30pm start – Food booked</p>
<p>We talked about extending the decking and steps, Stanton asked for a<br />

There was also a proposal of a shed/summer house being put by the<br />
containers as a booking in point / mini classroom, Stanton again asked<br />

<p><strong>Bank Balance £7918.26 plus £862.40 to be paid in.</strong></p>
<p>River Dart Trip Bunk house bill &#8211; 9 are booked on, need 12 to break even. Non-member booked on for bunkhouse.  <strong>Action: LM</strong> to let Fraser know how many have booked into the Bunkhouse.</p>

<h3><strong>Equipment</strong></h3>
<p>It was agreed to sell the playboats as they are not used much and often end up being used for small children which are unsuitable.  The money would go towards the cost of buying 2 more dynamos.  PM advised that the playboats will either need some repair or be sold as they are.  <strong>Action: PM</strong> to review and advise.</p>
<p>Despite previously deciding to hang onto the Polo boats it was now decided to also sell the polo boats.  PR advised there were some Polo Facebook sites.  <strong>Action PM</strong> to get what he can for them.</p>
<p>PR reported that there was no further progress on getting keys back from Alwyn &amp; Wendy.</p>
<p>Further to discussion at a previous meeting it was agreed to buy a further set of locks so that the same key will fit all locks and to have a new set cut for Committee Members.  The existing locks to be kept as spares in case a change was needed.</p>
<p><strong>Action PM</strong> to visit locksmiths to get locks and 10 keys.</p>
<p>PM had priced up some SUP paddles and recommended getting a Red paddle at £65, this was agreed.  It was suggested that the SUP Paddles should be hung up blade up so that the water can drain off and reduce the risk of sinking if dropped.</p>
<p>Canoe floats to be put in container over the Winter</p>
<p>SUPs to be dried out and either de pressurised or let down.</p>
<p>Regarding the 12’ Sport SUP there is a place in Sussex who can repair.  Ian Jennings will drop off as he visits nearby.  <strong>Action: PM</strong> will see about costs of having it returned.</p>
<p>Painters on the canoes to be sorted on a work day.  It was agreed to replace them.  It was suggested using carabiners so that the ropes could be taken off &amp; hung up.  If boats used on white water then they should be tied on for that occasion.</p>
<p>Discussions took place on extending the decking next year with additional new steps.  It was asked if the decking could be closer to the water or even have a floating deck.  This would need to be discussed at the meeting with Helen &amp; Mick.</p>

<h3><strong>Events</strong></h3>
<p>A few date changes, Scotland weekend moved back to November from October.</p>
<p>Curry night 21<sup>st</sup> September</p>
<p>It was reported that someone had messed about with straps holding on kayaks on a member’s car in the Stoney Cove car park.</p>
<p>It was clarified that at the previous meeting it had been agreed that a trip could be organised and run by a non-qualified member and assisted by an independent qualified person who could provide feedback to the Committee to assist in helping make an informed decision on granting approval for that person to potentially lead Club trips.  The same principle could be used for other disciplines.</p>
<h3></h3>
<p>&nbsp;</p>
<h3><strong>Club Development</strong></h3>
<p>Mick &amp; Helen want 2 separate meetings – one about Sea Cadets and the annual development meeting.  It was agreed to bring up in future developments discussion about having a large temporary structure such as a large garage/summerhouse type design as a clubhouse.  <strong>Action:  PM</strong> to investigate sizes &amp; costs for the next Committee meeting so that</p>
<p>it can be discussed further before the meeting with Mick &amp; Helen.  It was felt having something specific in mind or an example picture to show Mick &amp; Helen what we have in mind will help gauge their response to our development ideas should future funds allow.</p>
<p>Sea Cadets – Mick &amp; Helen are not happy with the Sea Cadets. They had the lake for free May &amp; June but paid for July with August to pay for.  Mick &amp; Helen want to be sure we are happy with the Sea Cadets before committing to any further bookings next year.  HC asked if the Committee are happy to facilitate the Cadets again next year if Helen &amp; Mick ask.  All agreed but strongly suggested they pay in advance and a new agreement is put in place which they must actually sign.</p>
<p>KS had confirmed that Coaches are covered insurance wise by British Canoeing provided they are coaching within their remit.  If a HCC member is required or offers to volunteer to help out and they are not a recognised coach then it must be clear it is under the Sea Cadet’s Organisation.</p>
<p>The meeting with Helen &amp; Mick is due to take place just after the October HCC meeting.</p>

<p>It was noted that a Professional web designer has commented on how impressed they were with the club website.  This is an excellent acknowledgement to those who have developed the website from its inception to its current state.</p>

<h3><strong>AOB</strong></h3>
<ul>
<li>Non-Swimmers – There was some discussion on whether the Club has a policy with regard to participants being able to swim. The level 2 &amp; session Coach (who the non-swimmer would be with) to discuss on a case by case basis depending on the dynamic risk assessment at the time.</li>
<li>It was reported that recently it had been a little difficult to take the beginning of the session particularly the off-water section due to over enthusiastic bystanders wanting to support and help participants especially as the group had unexpected extras. It was advised if this occurs to let the Level 2 know so they can have a word.</li>
</ul>
<p>It was also advised that no one should be on the decking unless they are wearing a BA.</p>
<p><strong>Action: KS</strong> to make a laminated sign for 2019 season.</p>
<ul>
<li>Social SUP for non-2-star members. KS advised that club social policy does not cover those who only come down to SUP when not on an organised session. HC advised this can be looked into in line with the 2019 BC award changes.</li>
<li>3 Star Training Assessment status. After some positive discussion it was agreed that the Club should support and offer to pay for Fraser’s final coaching assessment.</li>
</ul>
<p><strong>Action: PR</strong> to discuss with Fraser Watson</p>
<ul>
<li>Trips to manmade centres such as Nene. It was felt running official club trips is a little complicated due to the signing on process at the centres and needing an appropriately qualified person to sign people on if they are not 3-star standard. This has led to peer / friends only trips which has meant club boats cannot be hired.  It was agreed to allow club boats to be hired for group attendances on manmade centres.</li>

<h3><b>Minutes &amp; Matters Arising</b></h3>

<h3><b>Opening / Chairman Statement</b></h3>
<p>No statement was given and it was decided to remove from the next agenda.</p>
<h3><b>Club Admin</b></h3>
<p>KS was welcomed to the role of Secretary and those present were pleased that this role is again filled.  British Canoeing have been informed of the Club Secretary change and their records have been updated with new contact details.</p>
<p><strong>Social media policy</strong> – KS had circulated some suggested wording for a social media policy.  This was discussed in detail and after a minor amendment it was agreed to adopt the wording.</p>
<p><strong>Action:</strong> KS to send an electronic copy to NA to include in welcome packs and to RN to add to the Code of Conduct in the Club Documents on the web site.</p>
<p>There was some discussion whether there was a need for a member only Facebook page.  The Committee decided against this.</p>
<p>It was agreed that a statement should be added to the HCC trip attendance sign in sheet to the effect that if anyone objects to pictures being taken of them, they should inform the Trip Leader.  Then if any photos are posted with them they can be removed.</p>
<p>There is no point in having a tick box as the list has to be destroyed after the trip to comply with GDP legislation.</p>
<p><strong>Action:</strong> KS to amend document.</p>
<p><strong>Action:</strong> DC to advise Trip Leaders about including this in the Trip briefing.</p>
<p><strong>Sea Cadets</strong> Shane had turned up at the end of a Thursday session (19 July) and spoke with LM to ask for a meeting and he would try and attend this meeting.</p>
<p>He explained that they are paying Stanton lakes £60 and HCC £40 but that they are not managing to break even. They do not appear to be very organised as they had not been in contact with Helen &amp; Mick before the last session to confirm they were coming.  The Committee felt concerned that despite being invoiced no payment has been received.</p>
<p>Hayley has re invoiced.  It was suggested to try and find out if Helen &amp; Mick had been paid.  It was thought that if the arrangement fell through, getting monied owed may be difficult.  The Committee felt payment should be made before agreeing the next session as the Sea Cadets had asked for the next date to be changed.</p>
<p><strong>Action:</strong> PR to see Helen &amp; Mick about Sea cadets.  Phil also agreed to email Claire to push for payment and to clarify that coaches are not provided by HCC and that whoever opens up may not be a qualified Coach.</p>
<p><strong>Action:</strong>  KS to confirm with British Canoeing about insurance cover for Coaches when not coaching for the club.</p>

<p>More Dynamo boats for small children – Discuss with Paul what he thinks about selling play boats to help finance this.</p>
<p>It was suggested that Polo boats should not be sold for the time being.</p>
<p>The fin mount and pin on the new sport SUP is damaged &#8211; It was suggested that a picture be taken and sent to RED to see if anything can be done.  It was suggested that the picture could be put up on face book to remind members about taking care and that this board could be used predominately by the coach on organised sessions?</p>
<p>Painters on the canoes seem to be showing signs of possibly being chewed by mice.  Maybe these should be removed when not in use?</p>
<p>Investigate with Paul about getting a price for a new set of container locks.</p>
<p>A set of keys to be given KS/NS</p>

<p>Ratios limits to remain unchanged, however ratios outside club limits could be allowed if approved and recorded.</p>
<p>The club does have a shortage of qualified trip leaders and there was a lot of discussion on how the Committee might be able to consider members who are not qualified to to lead club trips.   There was a suggestion that a trip could be organised which was primarily lead by a non-qualified member and assisted by an independent qualified person who could provide feedback to the Committee to assist in helping make an informed decision on granting approval for someone to lead Club trips.  The same principle would be used for any discipline.</p>
<h3><b>Club Development</b></h3>
<p>It was suggested that next season the decking should be extended towards the seal launch, although there was concern about those who struggle to get out of boats are happier to get out in that small area</p>
<p>Discussed future dreams of a club house &#8211; maybe a mobile or timber construction building. (40’ x20’)</p>
<p>Development meeting to be organised after having some discussions with Mick &amp; Helen.</p>
<p>The level 2 course was discussed and who will be attending.</p>
<p><strong>Action:</strong>  Hayley to confirm on what is being facilitated with the Coach award.</p>
<p>Fraser had queried the number of people being supported by the Club for the level 2 Coach award in a message.  It was felt this was answered in full in the message.  It was stated there had been no further feedback.</p>

<p>Alwyn had messaged to say that all 6 boats are now back at the container.</p>
<p><strong>Action:</strong>  Polo boats to be counted up tomorrow.</p>
<p>PR sent a message during the meeting to ask about the remainder of the kit.  Alwyn responded that it was agreed at the meeting only the boats were required for payment and that the remaining kit could be kept.  It was noted that the meeting notes should be amended to reflect this.</p>

		<title>AGM 2018</title>

<p>Welcome to the 2017/18 AGM. Thank you for joining us tonight and great to see you all here. The plan for this evening is to give you some feedback into what has been going on over the last year and look ahead to next year. We have the election of the new committee and the yearly awards.</p>
<h3>Apologies</h3>

<h3>Chairman&#8217;s report</h3>
<p>It has been a very busy year. River trips, weekends away, events and coaching and it was great to see them so popular. We are a very diverse club which makes us strong with SUP, kayak sea, touring, open boating which is great to see getting more popular and of course the Hammerheads. I would encourage everyone this year to try a discipline that they are not used to as skills cross over from one to another. For all the committee members, trip leaders and coaches, it is really great to see all the members being so keen and getting involved in everything offered to them. As we all know enthusiasm will help the club grow. With last years grant we had a great foundation for our equipment and haven&#8217;t had to buy much this year. Our main work has been on site strengthening the fence around the decking, so thanks everyone who got involved in the working parties. Lastly and most importantly, I&#8217;d like to say a really big thank you to all the committee, the coaches, the trip leaders and the helpers who have put so much work in over the year to make it such a fun, busy and successful year for everyone.</p>
<h3>Development plan</h3>
<p>Our development plan runs on a 4yr schedule and we are approaching the third year, its fair to say that as a committee we didn&#8217;t focus on it too much last year, but will get back on track this year. I’d encourage all members to take a look at it on the website in the club documents section, any feedback and suggestions are always great to receive. Mainly this year we are looking to help people to progress along the coaching ladder, the club sessions can only run if we have coaches to run them, they are pivotal to the club in my opinion. We could have a great committee, all the latest kit and loads of members but with no coaches we&#8217;d be going nowhere, so if that is something you would be interested in, get in touch.</p>
<h3>Treasurers report</h3>

<h3>Polo</h3>
<p>In 2016/17 the Hammerheads played in Division 4 of the North west and Central league and secured 4th place overall which was a real achievement for their first attempt. In 2017/18 they were promoted to Division 3 and amazingly achieved 3rd place which has never been done in the 15yrs the league has been running. In the not to distant future we will be running a Youth development/beginners session, further details will be published soon.</p>
<h3>Paddlesport Development</h3>
<p>This season we gained 21 new 1* paddlers and 15 new 2* paddlers, well done all on your achievements.</p>
<h3>Programme co-ordinator</h3>
<p>A great total of 31 trips and events were organised and really well supported, thanks to all who helped organise, lead and help.</p>

<h3>Minutes and Matters Arising</h3>

<h3 style="margin-left: -.25pt;">Chairman’s Report</h3>
<p>Stanton Lakes are having problems with lots of fish dying in the lake, the environmental agency have tested water but no evidence of exactly what is causing this yet. Until further notice we will not be on the lake, a decision will be made Monday (9<sup>th</sup> April) evening regarding the first lake session (12<sup>th</sup> April).</p>
<h3>Finance</h3>
<p>£4783.49 currently in the bank including £2000 in the savings</p>
<h3>Club Admin</h3>
<p>Nothing to report</p>
<h3>Equipment</h3>
<p>Working party jobs discussed, members have been encouraged to come along and help out</p>
<p>Nikki Aldridge sent photos for a boat for sale; the committee have decided that we don’t need to buy any more boats at the moment</p>
<p>All club kit to be returned to the container by the working party (7<sup>th</sup> April)</p>
<h3>Events</h3>
<p>Checked and updated all risk assessments – Rob N to put on the website</p>
<p>Struggling with leaders to run trips</p>
<h3>Club Development</h3>
<p>Coaches training cancelled 5<sup>th</sup> April due to the lake conditions</p>
<p>WWSR Course &amp; SUP module course cancelled due to lack of interest</p>
<p>Discussed new coaches Level 1, Level 2 &amp; Level 3. Hayley to get commitment from people and to look into courses and get them booked on.</p>
<h3>Membership</h3>
<p>47 members renewed to date for the 2018-2019 year</p>
<h3>Club Communications</h3>
<p>Good luck to Rob &amp; Rose for your new lives in Australia, Rob will keep the website etc up to date</p>
<h3>Polo</h3>
<p>Aylwyn has raised the following issues to the committee; all of these matters were discussed at great length and the action plans going forward is for more transparency is required with Lesley to arrange meeting with Wendy to discuss asap (before next committee meeting)</p>
<ol>
<li>It has been said that someone on the committee is making it very much apparent they do not like polo or that’s what it seems like. But it is worse than that some of the things said. go as far as suggesting people who are involved with polo are changing the amount of money being paid in. THIS SLANDERING IS TO STOP NOW.</li>
<li>As for airing personal feelings towards polo at the AGM this was not professional and only managed to alienate further.</li>
<li>Polo is not in the red. We are a non-profit club and the register shows polo is breaking even at worst but overall it is up from the start. if needed I can make it public on the club Facebook page to show this also to prove we at polo have nothing to hide. <span style="color: #ff0000;">The figures from last year’s accounts have been audited by an accountant are all correct according to the documents given out at the AGM.</span></li>
<li>With the topic of item 3. I ask the question of why or more to the point of why is the amount given in different to the amount shown in the accounts. This rings a big bell with myself and with the rest of the people involved with polo. <span style="color: #ff0000;">These figures are different due to Paypal fees.</span></li>
<li>The excuse I don’t know anything about polo is exactly that an excuse. Eg Phil didn’t know but he made it his business to learn and now he has a greater understanding I hope.</li>
<li>So far we have been asked to become more integrated with the main club and we have tried several times. But what about the main club embracing polo as the good positive section with in the club it is and help it grow.</li>
<li>Now let’s look at the club and polo and who does what for the club many people do many things on and off the committee. So now let’s look at polo taking players out of the equation there is Wendy Kendell and Ian Jennings and recently Frazer Watson with his Facebook posts.</li>
<li>So it now comes down to the question does HCC want polo or shall polo go somewhere else. After all we have proven polo does work without much help. Now think what it could do with a positive force behind it because polo will go on with or without HCC. <span style="color: #ff0000;">It was voted on by the committee that we are in favour of polo staying a part of the club.</span></li>
