1.Welcome

Paul Morgan (Chairman) welcomed and thanked everyone for coming to the first and last virtual AGM. This evening we will give details of what the Club has done over the past 12 months and what is currently planned for the next 12 months. HCC Club Officials will be elected and the all-important yearly Club awards will be presented.

2.Apologies

Apologies received from Steve Jowett and Chris Hill who was able to connect to the meeting later.

3.Chairman’s Report

For members to help over extra costs, equipment lake sessions and club trips. Club rose to COVID challenge, tried to help where we could on the lake and on trips. No small part to coaches, leaders members when needed. Other had lots pushed onto them Committee members who had to step up this year, LO and AH, BH compliant ever changing guidelines. NS trips, DC training on website and risk assessments. Also Members o trips and at AS NE RM coaches who made sessions and trips possible. Not mentioned everyone, remarkable work MD to reroof the containers. Couldn’t do without MD. Members who paid subs, club afloat. Hoping over next 12 months catch up with courses etc. Looks back on the water fairly soon as restrictions lift, back paddling in April.

4.Constitution Amendment to item 5.1.1.3. Family membership

In past couples had family, propose in future will have to include children. This change was. Family membership for two adults, feels like discrimination. Should have included children, wasn’t clear at the time. Kat put forward the motion – the main change is the fact that the Committees hands are tied they have to be voted on at the AGM wording says it has to be a family not grandparents and children. The proposal is to change the wording to discuss different types of membership on an annual basis to avoid an AGM change. Family was two adults and children not two adults, that’s a couple. Wording change is Family a combination of Family members at the discretion of the Committee at the AGM fixed for one year. Previous “Family 2 or more people to max of 2 adults and 2 juniors”. Allan Smith falls into this category. As it stands a couple is a family. R Matthews? Zoe can see concerns of people without children – children whose parent’s have to be members but don’t paddle. Jonathan – impacts me but don’t believe the charge is wrong should raise family membership to minimum of two adults. Moore family – Danni disagree with 3 kids one who paddles, we pay family membership only pay for family membership. Me Cost should be at least the two adult rate – “Family membership” is cheaper. Carolyn agree should be the minimum of 2 adult rate.

5.Constitution Addition to introduce item 10.7

BH put this forward, when we go on trips nominal trip £2 to go into separate fund for coaches and leaders training, courses. Objection from HC e.g. charge £5 PaddlePlus C Tooze HCC is good value at x3 x4 Membership elsewhere and getting ongoing training is prohibitive to volunteer. Commitment of minimum 2 years to help out and will help to fund the courses. BH Getting expensive to fund. Potentially a good idea. Dave C if folks object, could it be voluntary contribution. Martin Stretton Paddleplus commercial organisation? No. All trips £5 plus annual membership x3 HCC M Stretton Gov Funding? PM explained grant application C Peacock How do funds work? Happy to support over increasing membership fees? PM reluctant to increase membership fees, we are competitive to other local clubs, could increase it but see this is an alternative. Separate pot so ear marked for coaching, could top up from other funds. Lots currently willing to be trained. Andy agrees CTooze likes idea. Andy Good membership low. Andrew no issue £2 per trip. J Pope supports the idea, of small charge on trips than onto membership. Bev Cleaver – supports. As newbie surprised wasn’t a fee in addition to membership, seems very fair idea. Shouldn’t go membership as that is subsidising trips. Kat Smith in past non profit organisation if aim to keep cheap as possible with new leadership and coaching awards don’t appreciate how much the costs have gone up significantly. Where as preferred not to pay for trips, trying to invest in the club roof, electric but means still can invest in equipment too. Being volunteers its important to support them. Dave –

Due to COVID 19 – have achieved two FB pages members and non members, website updated still some tweaks to be going on

7.Treasurer’s Report

Lesley March reported the Club. Accounts audited sheet. Worked on a loss this year according to £674222?? From which this years rent has been paid, agreed to 6 months at a time next instalment in June then paid for. £4k previously but down to £6742 as no social events, done well to stay as we are. Hope everyone will renew as won’t survive without membership. LM shielding, shame to deteriorate for COVID. Hope we go forward better this year and membership will continue. £1166 from Groundworks funded by Tesco which helped £800 Sport England. Without those we’d be struggling, PM Huge thanks to new members and members renewing.

8.Membership Secretary’s Report

LO Membership pretty good considering 134 this 142 last year 140 year before that. What we would like to do this year is discounted membership rate for 9 months rather than 12 months. Follow your link for renewal to get discounted price but if do through website it’ll charge full price.

Membership cards – not ideal to roll these out but will send out once less COVID.

9.Equipment Officer’s Report

Neil Smith reported that big development Roof MD and his gang of helpers. Kit wise did buy Dagger GT small boat Burglary. Working party gate. All photographed several views. More panelling blocking out view. Seal launch. Work in front of seal launch reinforced slabs and poles NS MD and Paul Hunter. Set target to get electric for donated CCTV and alarm system once have power. Another working party COVID permitting. Buildbase 2 tonnes sand under cabels once dug in then covered over. Also 2 tonnes sub-base to out between containers to improve underfoot. Need 100 m armoured cable, not bought it but hope to purchase and help to dig out and reinstate this. Approx £500. Anyone know anyone. Will cross existing electricity supply as restaurant twice, once at containers and once at the campsite bunker, needs to be less deep.

10.Paddlesport Development

Ben Hardy reported that interesting year but 15 people through various types of Explore 4 per course and 22 Discover. Leaders put together approx. 15 trips which is imporeesive thanks to the Coaches and Leaders.

Quite few new in coaching and leading. Some more dates FSRT 01-02/05/21 maybe a 1 day course with virtual course. £4?? Paddleplus 15-16/05 £45 Registration fee and 2 days coaching. As always want to know what course interest there is to be set up this coming year.

Leadership course and WW safety and Rescue.

11.Programme Coordinator’s Report

Dale Clarke reported that unusual year not been able to get out. Trips we did (some SUP only) multiple leaders and intros to ww. Lots of new members into groups, lots of first grade 3 BH first trip down Town Falls. Two counties Tale of Two Counties Lockdown L’boro and Leam/Avon as limited to own area. Dree up Christmas paddle. Lots paddling on own too. Jess ?? raised £?? Olivia won British Canoeing Virtual paddle award.

12.Election of Committee

Standing down Hayley Welfare Officer 11 years Dale Clarke. Great ambassadors. None of the nominations were contested therefore the 2020 Committee will be:

General Reps are co-opted by the Committee, if interested talk to a Committee Member. DC will come on the Committee as a General Rep.
