AG took the Chair in the absence of PM.  The second draft version sent on Monday did not have any content, KS thinks the wrong file had been attached.  It was thought the original notes were good.  The Meeting notes were approved for publication.

Action: KS to resend the notes to AG who will read before publishing just as a final check.

Minutes & Matters Arising

Post for help regarding Secretary role:  Action: AG to put up a post for help for Secretary role

Notes were put up on website for April & May

LO had sent an updated members list to LM

Action: AG to send stripe list to LM if any more info needed ask AG

Invoices for FSRT were up to date

The offer of a Kayak had been followed up

Action: MD – Was the surf kayak link sent to AM?

It was agreed the booking stats were not needed at this time perhaps used for 2022

FSRT to be reported further in the agenda

Is a Coach for social needed? KS reported not in risk assessment but noted risk assessment was out of date.  Could possibly use a Volunteer who had done FSRT?

Action:

KS Check with AM that he now has details for Dave & Paul for DBS check.

Club Admin

Finance

Up to 24th June £5,083.14 less lake fees £1096.68.  LM took a cheque on Tuesday and gave it to Mick.

Scouts have paid £90 in full by cheque but still needs to be paid in so not in total.

KS advised there will be an invoice from the Ladies FSRT in due course

Equipment

NS advised MD had moved boats from big gap to smaller gap between the containers.

Geoff Scoffam old member has donated a liquid logic Hoss and some bits of kit.

Events

NS reported that the rescue clinic instead of Members Day (cancelled due to COVID delay) was very successful.

Banwry trip turned into a Dee trip due to lack of water.

Lower T trip last week

Loughborough Loop trip event posted for Sat 31st July

Chris Hill is wanting to do another Stratford to Bidford Trip and the planned date will be 7th Aug

Face book conversation deleted due to peer trip being discussed on Club Members Facebook page.

Being discussed in the wrong place should have been on the Friends of.

No resolution around kit hire on Bookwhen at the moment.

Ticket with kit or ticket without kit was suggested

After some discussion it was agreed to close trip bookings off Friday 10am before weekend trip but may need to rethink for Winter.

It was also pointed out that Members that wish to hire kit for trips need to understand that they must be able to transport it themselves.

Lake Session Coordinator.

AG agreed availability to do the gate & open up on 22nd Jul.

Action:  AG to ask AM if he could do the Bank on this date

Due to demand, it was agreed to combine Taster / Beginner sessions to run together and run them weekly as not running these means there is nothing for this member skill level to book onto.

NS/KS reported they were using the spreadsheet set up by Jonathan Pope with a few tweaks.  The plan is to get a schedule fixed for the remainder of the season and then fill with appropriate Coaches.  Working on ensuring the next two weeks are sorted before going away and mulling over the remaining season while on holiday.

Action: When updated KS to send spreadsheet to AG to be uploaded back into Google Drive

It was agreed that Beginner /Taster sessions could be mixed craft.

It was agreed that the Pontoon gates cannot be opened until the Bank Person opens them or instructs that they should be opened this is for safety reasons and to ensure the area can be supervised.

Coaching Officer Development

The Ladies FSRT went really well with MD ensuring there was plenty of hot water for tea and coffee.

KS advised that it is important for details given to the Provider needs to match exactly what is on the BC Members profile on the BC system in order for the update to go through on the BC system.

Action:  LO to check name spelling & DOB are correct on the BC system for the attendees.

Another FSRT has been booked for Sat 4th September which has 2 booked on.

Still waiting for Dale Clarke to get back with Dates for the one day First Aid course.  Action: KS Chase up after holiday.

No further action taken on the 2-day course at the moment

Membership

142 Members people not wanting to wait for tasters so joining.

People are wanting continuity after joining after tasters so that they can carry on paddling after a taster.  Combining the Taster and Beginners should facilitate this.

It was agreed we need to increase opportunities for potential new Members to have Taster Sessions and new Members to have a session to be able to book onto.

Club Communications

Bookwhen changed so bookings close at 1400hrs Thursday for the lake sessions

Equipment booking for lake sessions has been removed as it is not possible to control numbers of SUPs.  If there is a SUP session the SUPs will be reserved for that session otherwise its first come first served.

Only Gate and Bank people need full attendee list, everyone else just needs to know numbers which can be put on Coaches & Leaders page.

COVID review will need to be done after Monday

AOB

LO – Emails received enquiring about Beavers/Cubs/Scouts group sessions.  It was thought the best way to facilitate these would be by using a Saturday.

Someone has asked about coming and taking photos for a competition (previous Member).   OK to come down and chat first.  If happy then set a date and give notice to Members.

It was agreed that People wanting to come down to chat about joining is OK so long as it is after 6.30pm to avoid the initial busy period of getting on the lake.

LM – Nothing to add

NS – Coach for the social session, if we could iron this out to free up a Coach.  Possibly use Volunteer as previously mentioned.

Asked LM if the printouts are needed for auditors and if electronic copies could not be used?

KS asked if we had a new auditor yet. LM still needs to make contact.  Make contact and have a meeting to see what’s needed Action: LO to resend contact details to LM

KS – Suggested that we should plan to buy 2 more SUPs so that a session could have a group of 8 or to leave a couple for use on other sessions.  It would also be nice at some point in the future to have a small canoe such as a 13’

Letter from Dave with Junior session suggestions.  It was commented that there were some interesting suggestions that definitely warrant further discussion.

Dave Beecroft has asked whether it would be possible to rent equipment & lake occasionally for courses such as FSRT or Paddlesport Instructor.  It was thought this could be a positive thing to do but as we only have 5 of the Committee presents that we should consult with the rest of the committee.  Action:  KS send an email re Dave Beecroft to ask for their thoughts.

Separately Dave Beecroft said he was interested in joining HCC.  We already get discounted courses so there would be no change but it could give Members more options of progressing personal skills beyond Explore level.

Suggested having a Sub group for lake sessions & Juniors with a Committee Member heading up to report back to the committee this may help spread the workload.
